It’s nearly event day; you’ve packed your promo bags, printed your flyers, splashed out on flashy pull-up banners, and are getting ready to put your smile on. But then, this conversation occurs:
Your team member asks: “Are we going to capture our leads at the event?“
You think to yourself: “Ugh. Is that even worth doing?“
We hear this all the time at our events. Exhibitors pour their efforts into the setup, the giveaways and the icebreakers — but hesitate when it comes to the most important part that ensures the investment in the event isn’t wasted: lead capture.
Everyone tells you how to capture leads (QR codes! Business card bowls! Scanners that beep!), but no one tells you why it actually matters or what you’re meant to do with that spreadsheet full of names, phone numbers and emails afterwards.
That’s what we’ll break down for you in this blog post.
Why collecting leads at events matters
1. Exposure alone is not enough
Yes, being at an event gets your brand seen. That’s where you showcase your products and services, connect with like-minded people and get your brand on your potential customers’ radar. But “being seen” doesn’t equal sales — and in most cases, people won’t buy from you the first time they meet you, especially at a busy expo or trade show where the distractions are endless and their attention is the currency.
In fact, 50% of leads are qualified, but they are not ready to buy yet, according to HubSpot.
So what makes the difference? Follow-ups with your leads, a.k.a anyone who stopped to talk to you at your stand, took your brochure or scanned via QR code, or showed interest in your products or services.
They might not be ready to purchase today but they’ve moved from stranger to potential. And that’s the beginning of a relationship.
What many exhibitors think their end goal at an event is ➜ to convince attendees to buy on the spot (even though that would be great!).
What veteran exhibitors know their end goal at an event really is ➜ to keep the conversation going and build a long-term relationship with customers.
2. Capturing leads puts your foot in their door
To put it simply: if you’re not capturing leads at events, you’re simply relying on people to remember you. And the reality is that they won’t.
Here’s why lead capture is essential:
Memory fades
Exhibiting at an event without capturing your leads is like, for lack of a better illustration, speed dating without getting your match’s number. Attendees stop by and chat with you. You hit it off and give them your business card or brochure hoping they’d remember to get in touch later. But they never do, because their attention shifted as soon as they stopped by the next booth. And now you have no way of contacting them yourself.
With the gradually decreasing attention span of human beings (47 seconds as of 2025, according to a UC Irvine decades-long study), it is much more difficult for your brand to stay top-of-mind with fleeting interactions. Business cards go missing. Brochures are thrown away. Freebies are used briefly (if you’re lucky), then discarded. If your brand isn’t proactively appearing in front of them at regular intervals, you’ll be forgotten.
You’re giving your audience an easy entry point
We all know that most people tend not to buy immediately. When they are ready, you want to be the one they think of.
It often goes more like: “I’m not sure what the name of that brand that I talked to at that show is called, and I don’t have the time to look it up manually.”
Assuming you’ve enabled them to recall your brand more easily, it would go more like: “I talked to [your brand name] at that show, their offerings were what I need, and they sent me a follow-up SMS about a great deal and how to get in touch.”
It keeps your event ROI in check
It’s true, exhibiting at an event is generally not cheap. Travel, booth design, staff time, marketing costs and other administrative fees — it all adds up.
Oddly enough, lead capture is still seen by many exhibitors as an afterthought and an added expense, as opposed to part of the investment.
Capturing leads further ensures that you’re turning all that spend into potential revenue, especially when you can’t guarantee how willing the event participants are to make a purchase onsite.
Keep up with your competition
80% of leads never convert into sales due to a lack of follow-up and lead nurturing, which probably surprises no one.
Yet only 22% of organisations get in touch with their leads weekly, and 34% reach out monthly. This means not that many companies continue nurturing their leads and forge ongoing relationships, meaning that your chance to stand out will increase as you keep the conversation going and engage with your potential customers.
Top 3 concerns after collecting leads
What happens after you’ve captured your leads is equally important as why and how.
If you’ve ever felt frustrated and overwhelmed with the leads spreadsheet, you’re not alone. When talking to event exhibitors across various industries and locations, our Lüp team uncovered some key common problems that exhibitors face with their lead list.
1. “I don’t know what to do with my leads”
We get it. You’ve now got a list of leads (yay!), but now you’re staring at it like it’s an IKEA manual written in Swedish and you have no idea where to start.
Leads are not merely a list of names or phone numbers. They’re people who have shown a level of interest in what you offer. In other words, they’re now a step closer to being a customer than a stranger.
The next step is to follow up with them and demonstrate value. Consider engaging them with:
- A thank you email that doesn’t sound like it is written by AI (or not too obviously, anyway).
- An event-exclusive discount or deal to make them feel like a more special customer segment.
- Helpful content like how-to guides or insightful reports.
2. “I sent my leads an email, but no one clicked the links”
Ah yes, the heartbreak. You’ve carefully crafted your email, hit send with a hopeful heart, and then… crickets.
Here’s the thing to remember: people don’t click or reply when they’re not ready yet. They need to be courted. Wooed. Given a reason to care or something worth their time.
The key? Keep showing up. Stay top-of-mind while ensuring you don’t come across pushy or overwhelming.
You simply want them to think of you the next time they need your product or service. That’s called brand longevity, and it’s worth its weight in gold.
Pro tip: Your follow-up doesn’t have to be email-only. While 44% of shoppers say emails influence their purchasing decisions the most, you can definitely consider sending SMS in the communications mix (keep it short!), or even a friendly phone call if that’s your thing.
3. “Nurturing my leads takes too long and is a waste of time”
Capturing and nurturing leads is not about instant conversion. It’s about planting seeds.
We already know that some of your leads might not be ready to buy today, and that’s okay. But soon (3 days from now, 3 weeks from now, or 3 months from now), when they are ready, guess who’s already in their inbox and fresh in their minds (your brand, of course).
Also — don’t forget that all this data gives you valuable insights like:
Which event(s) brought you the most leads?
Knowing this helps you understand which event to continue exhibiting at and may be worth amplifying the relevant marketing efforts for.
Which offer(s) got the best response or converted to the most sales?
Knowing this helps you further refine the offer or expand the offer in more ways or to more customers.
Which communication format or design had the best outcome?
Knowing this helps you determine whether emails or SMS (or something else) work best for your business and resonate more with your specific customers.
Capturing leads isn’t just another task on your event to-do list. It’s the foundation of everything that happens after the event. It’s what keeps your brand alive in the minds (and inboxes) of people who showed real interest in what you do. It’s what turns a one-off chat into a customer relationship, even if that relationship takes weeks or months to blossom.
Staying connected, showing up consistently, and offering value over time is how you build brand longevity. That’s what takes your brand from forgettable to sustainable.
