Event Operations Manager - UK

The Event Manager is an integral part of the Lup team. This role is responsible for the implementation, delivery and evaluation of Lüp projects. This role is the main conduit between the organiser and the greater Lup team, ensuring all tasks are allocated and completed within the agreed timeframes.

This is a hands-on role, responsible for completing many of the planning tasks, as well as being the main Lup representative onsite at the project, working closely with project organisers.

At the conclusion of the project, this role is responsible for ensuring all invoicing is completed, debriefing with both internal and external stakeholders and reporting to Lup management.

This is a high paced role suitable for extremely organised and personable project professionals and working with project organisers from some of the country's largest consumer, trade and agricultural projects.

Role & Responsibilities

  • Receive handover from Sales Team outlining Statement of Work and Estimate
  • Prepare SLA’s and Planning Sheet documentation with Client, offering expertise and guidance towards successful outcomes
  • Ensure projects are delivered in accordance with the agreed SLA’s, contract and timeframes
  • Collaborate with the Event Production who will build the project within Lüp’s systems
  • Ensure online aspects of the project are accurately set up prior to launch and maintained to meet Organiser’s requirements
  • Oversee all aspects of the project, ensuring the greater Lup team are aware of their responsibilities and timeframes to ensure the successful delivery of the project to a high standard
  • Be the primary point of contact for clients, offering outstanding communication before, during and after the project
  • Build and maintain solid rapport with all assigned clients
  • Complete all assigned tasks as per company SLA’s and outlined timeframes
  • Determine what type of equipment is required to deliver the services
  • Collaborate with the Logistics Team preparing equipment, managing stock, and assisting with the delivery and collection of equipment
  • Execute projects, delivering in accordance with the agreed contract and planning documentation.For smaller projects, act as Lüp’s sole onsite representative, and for larger projects lead a team delivering services,
  • Create project documentation including runsheets, staff training guides, planning sheets
  • Lead, manage and train the casual onsite team, ensuring they are aware of their responsibilities, providing the highest level of customer service and ensuring that all company policies are followed.
  • Recruit, roster, train and manage onsite project staff to provide the highest standards of customer service and ensure that all company policies are followed.
  • Ensure our services are being continually improved to exceed the customers' ever-increasing expectations by providing insights and recommendations to the Product and development team.
  • Collaborate with the Finance Team, confirming deposits and final invoice details for clients.
  • Comply with all policies and procedures as set by the company.
  • Comply with all regulations and laws as required to deliver the role.
  • Travelling regularly throughout Australia and potentially other countries
  • Work frequently on weekends and some public holidays
  • Perform any other reasonable duties as required by Lüp.
  • Submit to periodic security checks, including police background checks to meet our customers’ stringent security requirements.
  • Comply with our information security policy, also to meet our customer’s stringent security requirements.
  • Ensure that all on-site activities comply with WH&S legislation and company policies

Additional Roles & Responsibilities - Team Lead

Operations

  • Oversee the completion of all Planning Sheets & Runsheets
  • Assist with the onboarding and training process for new employees.
  • Manage Deputy Timesheets, ensuring all timesheets are approved prior to payroll.
  • Manage hours worked, ensuring all team members are not exceeding threshold on a monthly basis.
  • Oversee asana tasks, ensuring all tasks are completed in accordance with project timelines.
  • Oversee Casual Event Staffing, ensuring we have appropriate staffing numbers.

Logistics

  • Oversee the warehouse day to day operations, working closely with the event assistant
  • Manage Logistics Calendar, ensuring all details are completed in accordance with project timelines
  • Oversee the coordination of logistics & freight for Lup equipment within your region
  • Test, configure and set up equipment in the warehouse
  • Develop & create training materials as required
  • Assist Head of Event Operations with additional tasks as required.
