Manual workforce tracking across a diverse event portfolio

Tourism & Events Northern Territory regularly manages an extensive multi-event portfolio, requiring the seamless coordination of thousands of on-site staff, vendors, and contractors. However, managing workforce accreditation and vehicle access control across structurally distinct events, such as the NRL, BASSINTHEGRASS, and Supercars, presented major operational bottlenecks due to slow, legacy methods.

Previously, accreditation was handled via highly manual internal spreadsheets. Organisers had to physically write down individual barcode numbers onto pre-printed access cards before handing them to staff. Because data was disconnected, there was no automated mechanism to link a physical pass back to a specific individual without conducting exhaustive, manual searches through rows of static spreadsheet data.

Vehicle access posed an identical security and logistical risk. Staff were required to manually write their name and contact number on physical car pass stickers before affixing them to their windshields. In practice, busy event crew frequently skipped this step, leaving organisers with no way to contact the owners of incorrectly parked vehicles. Conversely, when details were written down, it publicly exposed the private names and phone numbers of the workforce to anyone walking past the vehicle. With thousands of passes to manage across conflicting event types, the traditional manual systems simply could not keep pace.

An intelligent, multi-event accreditation platform built for scale

Working closely with Tourism & Events Northern Territory, Lüp deployed a unified technological framework designed to streamline workforce registrations, secure vehicle permissions, and decentralise administrative pressure.

Instead of relying on the TENT event team to manually input data into multiple spreadsheets, Lüp introduced an advanced Accreditation Portal. This digital gateway shares the responsibility of data capture with the incoming workforce. By empowering contractors, vendors, and staff to register themselves and their staff, via tailored links, the organisers securely capture rich, tangible personnel profiles ahead of time, entirely removing the administrative bottleneck from the core organising team.

Lüp then solved the on-site time-consuming search and handing out of passes by introducing on-demand printing of hard cards, completely freeing up TENT accreditation staff to focus on their other tasks. Our solution seamlessly integrated multiple key pillars:

  • Self-service on-demand printing: Rather than sorting through pre-printed stock, staff simply arrive at the accreditation office, scan a personalised QR code at a Lüp kiosk and their custom badge prints instantly, creating a seamless, high-velocity onboarding experience.
  • Linked car pass redemption: By routing vehicle pass requests through the Lüp ecosystem, every single car pass barcode was dynamically bound to a validated user profile. If a vehicle required moving, organizers could instantly identify and contact the driver by scanning the secure QR code.
  • Privacy-first design: By linking physical assets directly to the digital database, staff no longer needed to display personal contact details on their windshields, completely preserving data privacy while maintaining complete organizational oversight.

Seamless operational efficiency from sporting fields to festival stages

The deployment of Lüp’s unified technology provided Tourism & Events Northern Territory with total visibility, tight security, and effortless control across their entire major event line-up.

  • Darwin Triple Crown Supercars: Flawlessly processed 3,000 workforce registrations, printed 2,200 secure badges on-site, and smoothly allocated 700 tracked vehicle passes.
  • BASSINTHEGRASS Music Festival: Successfully streamlined operations for the Territory's largest music event, managing 1,500 registrations, 1,200 printed badges, and 180 vehicle passes.
  • NRL Northern Territory Fixtures: Delivered a light, rapid-deployment framework resulting in 700 registrations, 160 printed credentials, and 160 vehicle passes.
  • Zero administrative friction: Eliminated the reliance on manual spreadsheets and hand-written credentials, completely eradicating human data-entry errors.

By transitioning from static spreadsheets to Lüp's agile, self-service infrastructure, Tourism & Events NT drastically reduced queue times at on-site accreditation offices and freed up valuable staff hours.

The successful implementation across rugby matches, motorsport tracks, and festival grounds has delivered a highly scalable, robust framework, ensuring that no matter how complex the event, Tourism & Events NT's workforce logistics remain completely bulletproof.
