Overcoming the feedback loop of high-volume entry
Staging a massive, international B2B gathering for the digital audio sector requires a robust ticketing and entry infrastructure that can absorb heavy morning surges without breaking a sweat. For the team behind The Podcast Show London, seamlessly welcoming thousands of global network executives, independent creators, and major advertisers was mission-critical.
The team quickly realised that they needed a better API solution that would significantly improve their future events, bringing more streamlined and efficient experiences to exhibitors and attendees with smoother processing, quicker check-ins, and more consistent entry flows.
Stabilising the data stream and mapping the venue floor
The Podcast Show turned to Lüp to build a high-capacity entry framework tailored to the demands of the event.
We partnered directly with the client's development team months before the doors opened, conducting a series of rigorous system stress tests, diving deep into the code to patch data vulnerabilities, all to ensure the API connection could handle heavy, simultaneous server requests without dropping a single packet.
With the digital pipeline secure, we shifted our focus to the physical venue footprint to completely re-engineer the crowd dynamics.
Our logistics planners thoroughly evaluated the available floor layout, calculating peak arrival windows against equipment capacity and personnel numbers. By identifying where the old bottlenecks occurred, we adjusted the barrier positions, redesigned the scanner placement, and created a streamlined walkthrough channel built specifically to handle mass crowds.
Hitting the airwaves with a frictionless live launch
Flawless execution on opening morning comes down to operational alignment. To make sure the event launched without a hitch, Lüp introduced mandatory briefing sessions for the entire front-of-house crew before the morning rush kicked off. This ensured every staff member was fully up to speed on the technical protocols and ready to process incoming delegates rapidly.
The combination of data engineering and meticulous floor management paid off instantly.
Thousands of audio professionals transitioned from the street to the main hall with absolute ease, completely eliminating the historical congestion. The system maintained perfect uptime, allowing the entry terminals to process visitors continuously. By letting Lüp take full ownership of the technical and physical entry grid, the organisers were able to step back from the gates and focus entirely on managing their high-profile speaker tracks and VIP delegates.
